Employment Opportunity – Executive Assistant – Limited-Term Pregnancy/Parental Leave Replacement

The UOIT Faculty Association (UOITFA) is an organization representing over 250 faculty members at the University of Ontario Institute of Technology (UOIT) in Oshawa, Ontario. The UOITFA invites applications for the position of Executive Assistant (EA) to commence in the Fall of 2018.

Description of Duties

The EA reports to the President, working cooperatively with and under the daily direction of the Executive Director. They are responsible for reception, filing and archiving, office management, bookkeeping, note-taking, data entry, event planning and coordination, supporting communications and campaigns, and assisting the Executive Director and UOITFA Executive in other assigned duties.

Skills and Qualifications

Ideal skills include:

  • General office administration and management;
  • Executive and committee support;
  • Communications, social media, website, listserv, and survey management;
  • Event and campaign organizing;
  • Book-keeping (Quickbooks experience is an asset);
  • Proficiency with Microsoft Office Suite, including mail merge; Lime Survey and MailChimp platforms; Adobe Pro and design software;
  • Ability to work independently and in team environments.

Candidates should possess a degree and/or diploma, and/or have relevant experience in a union or campus environment. Successful applicants must also demonstrate good judgement and initiative in directing queries, strong attention to detail, keen interpersonal communication skills, and sensitivity to maintaining highly confidential information. Experience with solidarity campaigns and action events is considered an asset.

This is a full-time limited-term pregnancy/parental leave replacement position. The successful candidate will be expected to work 35 hours per week. It will be a 13-month contract with an expected start date of mid-to-late September 2018. Salary will be $50,000 – $55,000 per annum commensurate with qualifications and experience. This is a unionized position represented by CUPE 1281, with terms and conditions of employment set by the collective agreement.
